Why keep leavers records?
The law keeps them on your books for years.
When someone leaves, the law still expects you to keep many of their records for years. Leavers records keep that history stored, backed up, searchable and reportable, so you can answer HMRC, a tribunal or an auditor without digging through archives.
They are optional and £1 a month each. You choose how many you hold.
How billing works
No tie-in. No per-user charges.
You choose the person limit
Charges are calculated on the person and leavers limits you choose. Raise either at any time, or lower them to no less than the records you hold; billing adjusts from your next invoice.
Unlimited users
Managers, HR, payroll and administrators log in at no extra cost, and there is no charge for core integrations.
Rolling monthly
No minimum term. End the subscription at any time with 30 days’ written notice, with no early-termination charge. See the Terms of Service.
Billed in advance, in pounds
Subscriptions are billed through Stripe in pounds sterling. Invoicing on 30-day terms can be agreed instead.
Questions
Pricing, answered.
How much does timeware® HRMS cost?
£8 per person per month, charged on the person limit you choose. Every module, all three apps, UK hosting, updates, support and the managed service are included. Leavers records are £1 a month each, and there is a one-off configuration fee.
Why do leavers records cost £1?
After someone leaves, their records stay stored, backed up and fully reportable, because the law requires many of them to be kept for years: six years for minimum wage, holiday and pension records, and up to 40 years for health surveillance. Leavers records are optional, and you choose how many you hold. See why keep leavers records.
Do you charge per user or per manager?
No. Users are unlimited. You pay for the people whose records you hold, not for the managers, administrators or payroll staff who log in.
Is there a minimum contract?
No. The subscription is a rolling monthly agreement with no minimum term. You can end it at any time with 30 days’ written notice; there is no tie-in and no early-termination charge.
What happens when our headcount changes?
Ask us to raise your person limit at any time, or lower it to no less than the number of current people held. The change applies straight away and billing adjusts from your next invoice.
Are integrations charged extra?
No. There is no charge for core integrations, such as payroll exports and HR and access-control connectors. See the full list of integrations.
Are DVLA licence checks included?
Every tenant gets 20 DVLA checks a month at no charge. If you need more, we add a block of checks and pass on the DVLA cost, currently 60p a check, as a one-off line on your next invoice. Unused checks carry forward.
How do we pay?
Subscriptions are billed monthly in advance in pounds sterling through Stripe. Where invoicing is agreed instead, invoices are payable within 30 days.
Do your prices include VAT?
All prices exclude VAT, which is added at the standard rate.
Who counts as a person?
Everyone you hold a current record for, whether full-time, part-time or on leave. Leavers whose records you keep are charged at the leavers rate instead.
What does the configuration fee cover?
Our implementation specialist meets your team, maps your shifts, pay rules and leave policies, sets them up, imports your people, installs your clocking devices and checks your first pay period with you. It is a one-off fee, quoted after a short call once we know your sites and devices. Existing timeware® Professional customers moving across pay no configuration fee.
